Volunteer portal for logging hours & rosters

A volunteer management portal is where volunteers sign up for shifts and log the hours they've worked, and the coordinator keeps the roster for every shift and approves the hours.

Pattern: Directory

Describe it to Pory

How Pory sets it up

Pory gives every volunteer and coordinator a sign-in of their own. Each volunteer sees only their own hour logs. It covers signup, shifts and hours. Hour logs, shifts, sign-ups, volunteers, checks and who to contact live in Pory's own database, so there's no spreadsheet to keep in sync.

What it does

01

Volunteers log their own hours after each shift and see them approved

Hours used to be a paper sign-in sheet that someone typed up at month's end, if the sheet survived the coffee. In Pory a volunteer picks the shift, enters their hours and a note, and watches the log go from Submitted to Approved. The coordinator stops deciphering handwriting on a soggy sheet.

02

Coordinators see who's signed up for each shift, and who has canceled

Knowing who was on Saturday meant piecing together replies in a group chat. In Pory the coordinator's Roster page lists every sign-up by shift, with the volunteer, the job they're doing and whether they've confirmed or canceled, so a cancellation on Wednesday sorting shows up before Wednesday. Nobody sends a 7am "is anyone coming?" text.

The parts behind this portal

Each one reads and writes the same records, so a form, its approval and the status page someone checks are one system. How Pory builds a portal

Collect

1 part
  • Forms

Signed-in or public, with typed fields and file uploads. A form files a record; it doesn't start an email thread.

Share

1 part
  • People directory

Portraits, names, and roles from a table, shown only to the roles allowed to see them.

Control

3 parts
  • Who sees which records

Each person sees their own records, the ones assigned to them, or the ones they manage. Fields can be hidden per role. Pory sets this up from your description, and you can adjust it in the editor.

  • Passwordless sign-in

A sign-in link by email, by default. Password sign-in if you'd rather.

  • Your brand

Your domain, your colors, your logo. Members see you.

Frequently asked questions

A volunteer signs in with a link sent to their email and lands on Home. They see Home, My hour logs, Shifts, My checks and Volunteer handbook, and only the hour logs that are theirs. From there they can use “New hour log”, “Sign up for a shift” and “Upload a document”.

You invite them. Each person gets a sign-in link by email, with no password to set, and lands in the role you chose for them.
