How Pory sets it up

Pory gives every site manager, trade and client's rep a sign-in of their own. It covers defect → assign → fixed → verified. Defects, certificates and handover documents, site dates, handover checklist, trades and site team live in Pory's own database, so there's no spreadsheet to keep in sync.

Site managers log each defect with a photo and its exact spot

Defects were scrawled on marked-up drawings next to phone photos nobody could match to a unit. Walking the floors, the site manager logs the defect, attaches a photo, names the unit and room, and picks the trade. It joins the punch list with the photo on it, so nobody argues about which scuff on which wall.

Each defect goes to a named trade and lands on their list

Trades got a PDF punch list every Friday and had to hunt for their items among two hundred others. The site manager names the trade on the defect, with a fix-by date, and it appears on that trade's list with the photo and location. Electricians see outlets, painters see scuffs, and nobody can say they weren't told.

Fixes come off the list only when the site manager verifies them

Trades marked items done over the phone, and the client's rep found half of them still wrong at the walkthrough. When a defect is marked fixed, the site manager checks it in person and either verifies it or rejects the fix with the reason written on the defect. The punch list only shrinks when the work is actually right.

The client's rep sees handover progress item by item

The client's rep asked for a progress update every week, and the site manager wrote the same email every Friday. Handover is a checklist (each level's defects verified, elevator running, fire systems tested, keys boxed) with progress across the top. The rep looks whenever they like, and the Friday update email quietly retires.
